How to Actually Use AI in Your Business Without Feeling Overwhelmed
AI is everywhere right now, and if you’re a business owner, it can feel like you’re being told to use it for everything all at once.
More content. Faster systems. Better marketing. Smarter workflows. Less admin. More automation.
And while some of that is true, it can also create a whole new kind of overwhelm.
Because the real question is not, How do I use every AI tool out there? It’s: How do I use AI in a way that actually supports my business, my brain, and my day-to-day workflow?
The truth is, AI does not need to become another full-time job.
It can be a powerful support tool, but only when you use it with intention.
Start with the work that drains you
If you want AI to help, do not start by trying to automate your entire business.
Start with the tasks that are repetitive, time-consuming, or mentally draining.
That might look like:

That means asking:
- Where am I losing time every week?
- What tasks do I repeat over and over?
- What do I avoid because it takes too much mental energy?
- What parts of my workflow need support, not more complexity?
If the tool does not fit your actual workflow, you probably will not keep using it.
A simple real-life example
One example we are actively using is taking meeting notes from Fireflies and using AI to turn them into something more useful and client-friendly.
Instead of leaving those notes buried in a transcript, we can take the key takeaways, action items, and next steps and direct them into Gamma to create a polished summary deck for the client.
That means:
- Less manual note cleanup
- Faster turnaround after meetings
- Clearer communication for the client
- A more polished deliverable without starting from scratch every time
This is a great example of how AI can support your workflow without replacing the human part. The strategy, context, and final review still matter. AI just helps speed up the process and reduce the admin load.
Keep it simple
You do not need to master everything at once.
Start with one tool. One use case. One small win.
That could be:
- Using AI to draft a weekly email
- Creating a prompt for proposal outlines
- Summarizing call notes into action items
- Turning one blog into social media content
Simple is sustainable.
The real goal
Using AI in your business is not about doing more for the sake of doing more.
It is about creating more capacity, reducing unnecessary friction, and building support around the parts of your business that feel heavy.
